You do the install. We handle the paperwork that comes after.
AfterInstall Desk files your equipment warranty registrations, utility rebate paperwork (including TVA EnergyRight and other regional programs), and manufacturer co-op advertising claims, so the money and protection you've earned don't slip through the cracks.

- Co-op Claims Desk: we file your manufacturer co-op ad claims for a flat monthly fee.

- You get a simple status report on every filing.
The office work after the job is where shops lose money
Small shops are great at installs. But the follow-up paperwork lands on the owner, a spouse, or whoever's free, usually at night. When it slips, it costs you.

Missed warranty registrations
Many manufacturers only give their longer parts warranty if the unit is registered within a set window after install. Miss it, and a failed part can turn into a callback you pay for or an upset customer.
Rebates left on the table
Utility rebates, from TVA EnergyRight to your regional power company's programs, come with forms, photos, model numbers and deadlines. Under some programs the installing contractor is the one who has to submit, so it falls on you.
Unclaimed co-op ad money
Many brands will pay back part of what dealers spend on advertising, but only if you file the claim with the right proof before the deadline. Many dealers never get around to it.
Pick one service or use both
Install Paperwork Desk
After each install, you send us the job details: a photo of the data plate, the customer's info, and the invoice. Text, email or a shared folder all work. We take it from there.
- Register the equipment with the manufacturer inside its warranty window
- Prepare and submit utility rebates (including TVA EnergyRight and other regional programs) where you're the one who has to file
- Check that model numbers, serials and dates match before anything gets filed
- Keep confirmations and copies organized by job, so you can find them when a customer calls
- Flag anything that's missing, like a photo or signature, before the deadline
- Monthly report: what was filed, what's pending, and what came back

Good fit if you…
- Do roughly 5–40 installs a month
- Don't have a dedicated office person for this
- Aren't already handling it inside a big field-service platform
- Install heat pumps, high-efficiency systems or water heaters that qualify for rebates
Free trial: we'll handle your next 5 installs at no charge so you can see how it works.
Start the free trialCo-op Claims Desk
Many equipment and product brands set aside co-op advertising funds for their dealers. You spend on approved ads, and the brand pays back part of it. Each program has its own rules, proof requirements and deadlines. We keep track of all of it.
- Review which of your brands offer co-op programs and what's left in your balance
- Collect proof of performance: tear sheets, printed pieces, screenshots, invoices, airtime affidavits
- Check ads against brand rules, like logo use and required wording, before you run them where we can
- Prepare and submit claims through each brand's portal before the deadline
- Track every claim to paid, denied or resubmitted
- Quarterly summary of funds available, claimed and received

Good fit if you…
- Are an independent dealer for one or more brands with a co-op program
- Run local ads: print, mailers, radio, digital, signage, or events
- Suspect you're not claiming everything you could
Flat fee, not a cut. You keep 100% of every reimbursement.

Four steps, about 15 minutes of your time to start

Start online
Fill a short form: brands, utility or power company, installs per month, and how you want to send jobs.
Easy hand-off
You send job details or ad invoices however you like: text a photo, forward an email, or drop files in a shared folder.
We file
We check everything, file it in the right portal before the deadline, and save every confirmation.
You get a report
A short monthly report shows what was filed, what's pending, and what came back.
We use software to sort documents and track deadlines, and a person reviews every filing before it goes out. Some manufacturer and utility programs need your own login or signature; when they do, we'll email clear steps — still no phone call required.

Built for independent shops, not big chains
HVAC contractors
Residential and light-commercial installers, including utility trade-ally and quality-contractor network members (like TVA's) and dealers for major equipment brands.
Plumbing shops
Water heater, heat-pump water heater and fixture installers who register equipment and file utility rebates.
Independent dealers
Flooring, appliance, outdoor power, marine and other dealers whose brands offer co-op ad programs.
Founded in Cullman, Alabama, and open to independent shops and dealers anywhere in the US. Everything runs by email, text and shared folders, so your location doesn't matter.
What we promise, and what we don't
We promise to file carefully, on time, and to tell you plainly what happened with every filing. We can't promise any specific rebate, reimbursement, savings or approval. Those decisions belong to the manufacturer, your utility or rebate program (TVA EnergyRight, for example), or the brand's co-op program, and their rules change. We aren't a CPA firm, law firm or tax advisor, and we don't give tax or legal advice. AfterInstall Desk is an independent business and isn't affiliated with or endorsed by any utility (including TVA), rebate program, or manufacturer named or pictured on this site.
Common questions
What do I actually have to send you?
For installs: a clear photo of the equipment data plate (model and serial), the customer's name and address, the install date, and the invoice. Rebates may also need specific photos or forms; we'll give you a short checklist for each program.
Do you contact my customers?
Only if a program requires something from the homeowner, like a signature, and only with your OK. We never market to your customers or share their information.
How does the free trial work?
We handle the paperwork for your next 5 installs at no charge. After that, you can choose pay-per-filing, the monthly plan, or stop. No card required to start.
Will you guarantee I get the rebate or the co-op money?
No. Approval and payment are up to the utility or manufacturer. What we do is make sure the filing is complete, accurate and on time, which is where most missed money comes from.
Why a flat fee instead of a percentage of my co-op claims?
You earned the reimbursement, so you should keep all of it. A flat fee also keeps us focused on filing everything correctly, not just the big claims.
Which brands and programs do you work with?
We work with the programs you already participate in. The signup form asks for your brands; if something is outside what we can handle, we say so by email before you send work.
Do I need to give you my portal passwords?
Where a program allows a separate user or delegate login for an outside helper, we use that. Where it doesn't, we'll email you the safest option before anything is set up. You can change or revoke access any time.
Is there a contract?
No long-term contract. Monthly plans can be canceled any time before the next billing date.
What if you make a mistake?
Tell us and we'll fix and refile at no charge where the program allows it. Our total responsibility is limited as described in our Terms, generally to the fees you paid us for the affected filing.
